What EDUQIVA collects, why, how long we keep it, and what you can ask us to do with it.
1. Who is responsible for your information
EDUQIVA, San Francisco, California, is the controller of the personal information described here. For any question about this policy, or to exercise any of the rights in section 8, write to hello@eduqiva.com.
2. What we collect
When an adult registers: name, email address, date of birth, country, time zone, and the classes you enrol in. Date of birth confirms age eligibility for a class; it is not used for marketing.
When a parent or guardian applies for a student aged 13 to 17: the guardian’s name and email, the student’s first name, last name and date of birth, the country and time zone, and the signed consent form. The account belongs to the guardian.
When someone applies to teach: the information on the application form, the documents a teacher sends us or that HR adds to their file — a CV, qualifications, certificates — and the signed teaching agreement. For teachers who will work with students under 18, the outcome and expiry date of identity verification and a background check.
When a sponsor applies: the contact details of the person applying and the organization they represent.
Automatically, for everyone with an account: when you signed in, from roughly where (derived from your network address), and what browser you used. You can see your own active sign-ins on your account page; we keep this so that you and we can both notice somebody else using your account.
Attendance: whether an enrolled student attended, was late, or was absent. We do not record the classes.
3. Students under 18
A student aged 13 to 17 cannot hold an EDUQIVA account. A parent or legal guardian applies, signs a consent form, and holds the account. Our database will not create a student record for a minor unless a guardian application for that student has been reviewed and approved — this is a structural rule in the system, not a step a member of staff can skip.
EDUQIVA does not accept students under 13, and our systems refuse to create such a record. We do not knowingly collect personal information from a child under 13. If you believe we have, contact hello@eduqiva.com and we will delete it.
A guardian may review, correct, or withdraw consent for their child’s information at any time by writing to us. Withdrawing consent ends the student’s enrolment.
4. Why we use it
- To run your account and deliver classes — because we need to in order to provide what you signed up for.
- To confirm age eligibility — because a class has an age range, and because the law requires consent for a minor.
- To send service messages — registration, sign-in, joining links, schedule changes and cancellations. These are not marketing and carry no unsubscribe link, because switching them off would stop your account working.
- To assess and vet teachers — because we are responsible for who we place in front of students.
- To keep the platform secure — recording who signed in, and which member of staff opened which record.
- To report to sponsors — in aggregate only. A sponsor never receives a student’s personal information.
We do not sell personal information, and we do not use it for advertising.
5. Who else sees it
We use a small number of service providers, and each sees only what it needs:
- Supabase — hosts our database and sign-in system.
- Vercel — hosts the platform.
- Microsoft Teams — delivers the live classes. Microsoft handles your participation in a meeting under its own privacy terms.
- DocuSign — handles the signing of agreements and consent forms.
- Our email provider — delivers service messages.
We may also disclose information where the law requires it, or where it is necessary to protect the safety of a student, teacher or member of staff.
EDUQIVA operates from the United States and teaches students worldwide, so your information is transferred to and stored in the United States.
6. Who inside EDUQIVA sees it
Access depends on role, and is enforced by the database rather than by the screen — a member of staff cannot reach a record their role does not permit, even outside the website. Every time a member of staff opens somebody’s record, that is logged with their name and the time. Every change any member of staff makes is logged, and the log cannot be edited or deleted by anyone, including the owner of the company.
7. How long we keep it
- Your account and enrolment history — while your account is open, and after it is closed, so that there is a record of the classes you took.
- Consents and signed agreements — kept as a record that permission was given, which version was agreed to, and when.
- Teacher vetting records — for as long as the teacher works with us, and afterwards for as long as we are required to keep them.
- Security and access logs — kept as the evidence that nobody looked at a record they had no business seeing.
8. Your rights
You may ask us to show you what we hold about you, correct it, erase it, or stop using it. Write to hello@eduqiva.com. A parent or guardian may do this for their child. Depending on where you live you may also have the right to complain to your data protection regulator, and we would rather you told us first so that we can put it right.
9. What erasure actually means
When you ask us to erase your information, we remove your name, email address, date of birth and any documents you gave us, and your sign-in stops working. Two things deliberately survive, with your personal details stripped off them.
The first is the record that an agreement or consent was signed — not its contents, but the fact of it, which version, and when. The second is the log of who accessed what.
We keep them because they are the evidence that we asked permission before doing anything, and that nobody looked at a record they should not have. If a question were ever raised — by you, by a parent, or by a regulator — those records are how it gets answered. That protection only works if they cannot be erased on request, including by us.
10. Security
Sign-in is protected by two-step verification, which is required for every EDUQIVA account. Documents are stored privately and are reachable only through short-lived links issued to someone entitled to see them. Access rules are enforced by the database itself rather than by the website.
No system is perfect. If a breach ever affects your information, we will tell you and the relevant authority as the law requires.
11. Cookies
EDUQIVA uses cookies that are necessary to keep you signed in. We do not use advertising or tracking cookies.
12. Changes to this policy
We will update this page as EDUQIVA changes, and the date at the top shows when it last changed. Where a change materially affects you, we will tell account holders by email.
